HR Management System
Every company keeps HR records from the day it hires its first employee. For a long time a folder and a spreadsheet are enough. The point at which they stop being enough is rarely dramatic — it arrives as a leave balance nobody can confirm, a contract renewal noticed a week late, or an end-of-service calculation that three people work out differently. Arkanex is building an HR management system for the stage where those small failures start to cost real time.
- Employee profiles & documents
- Leave & attendance
- Approval workflows
This product is in development. That means the scope described on this page is what the system is being designed around, not a description of software you can use today. We would rather say that plainly than imply otherwise — and it is the reason the useful next step here is a conversation rather than a purchase.
What this kind of system is for
Employee records in several places at once
Contracts in one folder, personal details in another, salary information with finance, and no single record that is reliably current.
Leave and absence tracked by hand
Balances maintained in a spreadsheet that someone has to remember to update, and disputes that take longer to resolve than the leave itself.
Documents that expire quietly
Contracts, identity documents and permits with end dates that are only noticed when something depends on them.
Reporting assembled manually
Headcount, cost and turnover figures rebuilt by hand each time somebody asks, which makes them slow to produce and easy to disagree with.
Who it is being designed for
The system is aimed at businesses large enough that HR administration has become a real workload, and not so large that they already run a mature HR platform.
- Companies where HR is handled by a small team, or by someone who also does something else
- Businesses with staff across more than one site or department
- Workplaces where records are maintained in both Arabic and English
- Organisations preparing to grow headcount and wanting the administration to scale with it
The areas it is being designed around
These are the parts of HR administration the product is being built to cover. They describe intended scope as development proceeds, not functionality available today.
Employee records
A single place for the information a company holds about the people who work for it, structured so it stays current rather than being re-entered.
Employment lifecycle
The stages an employee moves through — joining, changing role, and leaving — treated as a process the system understands rather than a set of unrelated updates.
Leave and attendance
Requests, approvals and balances kept in one place so that what an employee believes and what the company records are the same thing.
Documents and renewals
Documents held against the employee they belong to, with their end dates visible before they matter rather than after.
Organisational structure
Departments, reporting lines and roles represented explicitly, so that approvals and reporting follow the structure the business actually has.
Operational reporting
Routine HR questions answerable from the system, so producing a headcount or cost figure is a query rather than an exercise.
What to ask of any HR system
Useful whether or not you talk to us. These are the questions we would want answered before committing to any system in this category, including ours.
Does it handle Arabic properly, or only display it?
Names, addresses and documents in Arabic should sort, search and print correctly, and the interface should be usable in Arabic by people who work in Arabic. This is where many systems are weakest and it is easy to test.
Can it represent how your company is actually structured?
If approvals in your business do not follow a simple hierarchy, a system that only supports one will be worked around from the first week.
Whose data is it, and can you get it out?
Ask what happens to your records if you stop using the system, and in what format they come back. The answer tells you a great deal.
What happens when your process changes?
Businesses change how they work. Find out what adjusting the system involves, and who has to do it.
How does it fit the Saudi employment context?
End-of-service, leave entitlements and contract handling work in particular ways here. A system designed elsewhere may need adaptation — worth understanding before, not after.
Talk to us early
Because the product is in development, the most valuable conversations right now are with businesses willing to describe how they actually handle HR administration today. If that is you, we would like to hear about it.
